Privacy Policy

1. Information We Collect

We collect the following categories of information:

a. Information You Provide

• Account registration details (name, email, login credentials).
• Lead and contact information you upload or enter into the platform.
• Billing data depends on the purchase channel. Website and organization billing is processed by Stripe. We do not store full card numbers. iOS self-serve subscriptions are processed by Apple and charged to the Apple ID. We receive subscription status and transaction identifiers so we can provision the account. We do not receive the full Apple payment card number.

b. Automatically Collected Information

• Device information, browser type, operating system.
• IP address, usage logs, and analytics data.
• Cookies and similar technologies (see our Cookie Policy).

c. Mobile / iOS App Data

• Device information (model, OS version, app version) and push notification tokens (APNs) used to deliver notifications.
• Call event metadata (start/end timestamps, direction, duration) to support calling, messaging, and notification delivery.
• Crash and diagnostic logs used to maintain reliability of the app.
• Where call audio, recording, or transcript processing is enabled by your organization, audio/transcript content is processed by our AI providers solely to deliver in-product features and is not used for advertising.
• If you subscribe in the iOS app, Apple bills the Operator monthly subscription. We store the subscription status Apple provides, including the product identifier, transaction identifier, renewal or expiry time, and whether the subscription is in a trial. Cancel that subscription in Apple ID subscription settings. Deleting the Spartan Closer account does not cancel the Apple subscription.

d. Location Data

If you enable location-based features (e.g., Maps, Places, or geolocation services), we may collect and process your approximate or precise location to provide these features.

e. Google User Data

If you connect your Google account, we may access:

• Calendar data (to create, edit, or manage events you request).
• Profile information (basic account identity such as name and email).
• Maps, Places, or Geolocation data (to display property and meeting locations).

We only access and use this data in accordance with the Google API Services User Data Policy, including the Limited Use requirements.

2. How We Use Your Information

We use the information we collect to:

• Provide and improve the Service.
• Schedule and manage meetings with leads.
• Display property and location data.
• Send notifications, reminders, and updates.
• Process organization-level billing and seat management where applicable.
• Provision access when a subscription is billed by Apple or by Stripe, and keep that access in sync with renewal, cancellation, expiry, or refund notices from that provider.
• Support calling, messaging, notification delivery, and crash/diagnostic reliability of our web and mobile apps.

We do not sell or rent your personal information to third parties. We do not use your data for personalized advertising.

3. Sharing of Information

We may share information only as follows:

• With service providers that help us operate the Service, including:
  • Supabase (hosting, database, authentication)
  • Twilio (voice and SMS delivery)
  • Stripe (website and organization billing)
  • Apple (iOS subscription billing and status, and Apple Push Notification service for notification delivery)
  • Google APIs (Maps, Places, Calendar where connected)
  • Analytics and crash diagnostics providers
  • AI providers (e.g., OpenAI) used to deliver in-product AI features
• For legal reasons, if required by law, subpoena, or government request.
• In the event of a business transfer (merger, acquisition, or sale of assets).

We do not share Google user data with third parties except as necessary to provide the Service you request.

4. Google API Compliance

Our use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements:

• We only use Google data to provide or improve user-facing features.
• We do not use Google data for advertising or profiling.
• We do not allow humans to read Google user data, except with your consent, to comply with law, or for troubleshooting.

5. Data Retention & Deletion

• We retain user data only as long as necessary to provide the Service.
• If you disconnect your Google account, all tokens and associated Google data are deleted promptly.
• You may request account deletion and associated data removal at any time by emailing admin@spartancloser.app.
• Deleted data is removed from active systems after a deletion request. This policy does not state a fixed backup retention period.

6. Cookies & Tracking

We use cookies and similar technologies for sign-in, security, and, on public marketing pages, analytics. We do not currently show a cookie-choice banner. Full details and browser controls are in our Cookie Policy.

7. Security

We use industry-standard security practices to protect your data, including encryption in transit and at rest. However, no system is 100% secure. Users are responsible for safeguarding their login credentials.

8. Children's Privacy

The Service is a business product and is not directed to children. We do not knowingly collect personal information from children under 13, or under 16 where that higher age applies.

9. Data controller and international transfers

Spartan Closer LLC, 320 Boston Post Rd, Suite 180, Darien, CT 06820, United States, is the data controller for personal information we process to provide the Service. Privacy requests go to admin@spartancloser.app. We are established in the United States. This policy does not appoint a European Union or United Kingdom representative, and it does not appoint a data protection officer.

If you use the Service from outside the United States, including the European Economic Area, the United Kingdom, or Switzerland, your information is transferred to and processed in the United States. Service providers listed above may process it in other countries as well. This policy does not claim a specific transfer tool, such as Standard Contractual Clauses. Email us if you need to ask about a particular transfer.

Why we process personal information

• To provide the Service you or your organization requested, including accounts, communications features, and subscriptions.
• To keep the Service secure, prevent abuse, and troubleshoot.
• To measure use of public marketing pages.
• To meet legal, tax, and accounting duties.
• To provide an optional integration you choose to connect, such as Google Calendar.

Those purposes line up with performing a contract, legitimate interests, legal obligations, and consent where we ask for a separate choice. This is a summary. It is not a certification, seal, or finding by a regulator.

10. Your Rights

Depending on where you live, including under the EU and UK GDPR where they apply, you may have the right to:

• Access the personal information we hold about you.
• Correct inaccurate information.
• Delete information, subject to records we must keep.
• Restrict or object to certain processing, including processing based on legitimate interests.
• Receive a portable copy of information you provided, where that right applies.
• Withdraw consent where processing is based on consent. Withdrawal does not undo processing that already happened.
• Lodge a complaint with a supervisory authority. People in the EEA or the United Kingdom can contact the authority in their country. We have not designated a lead EU authority on this page.

Email admin@spartancloser.app to make a request. We may need to confirm that it comes from you or from someone authorized by your organization. Lead and contact data uploaded by an organization may be controlled by that organization for its own customers. Requests about that customer data may need to go to the organization that uploaded it.

Account deletion is also described in section 5. Deleting an account does not by itself cancel a subscription billed by Apple.

11. Changes to This Policy

We may update this Privacy Policy from time to time. Updates will be posted at https://spartancloser.app/privacy-policy. Continued use of the Service constitutes acceptance of changes.
